Salary: $80,000 per annum–The gross salary paid is subject to all applicable Federal and Provincial income taxes and other statutory deductions.
Vacation: 4% of the gross salary

Position Summary

The Administrative Manager is responsible for planning, organizing, directing, and evaluating the administrative operations of the organization. The role ensures efficient coordination of internal office functions, regulatory compliance, client service delivery, and recruitment support operations. The position plays a key role in supporting business growth by streamlining administrative systems and supervising administrative staff.

Essential Functions / Major Responsibilities

  • Plan, organize, direct, and evaluate the agency’s administrative services including office procedures, documentation systems, and workflow processes
  • Develop and implement administrative policies and procedures to improve operational efficiency and service delivery
  • Oversee records management systems, including employee files, client contracts, and compliance documentation
  • Coordinate administrative support for recruitment processes including job postings, applicant tracking, interview scheduling, and onboarding documentation
  • Ensure accurate maintenance of candidate databases, client records, and placement documentation
  • Liaise with recruitment consultants to streamline hiring workflows and improve turnaround times
  • Ensure compliance with federal and provincial employment regulations, employment standards, and workplace policies
  • Oversee preparation and maintenance of records required for audits, inspections, and internal reviews
  • Assist in developing and monitoring administrative budgets, including office expenses, systems, and staffing resources
  • Identify cost-saving opportunities and implement efficient resource allocation strategies
  • Manage vendor relationships for office supplies, software systems, and service providers
  • Supervise, train, and evaluate administrative personnel including office coordinators and support staff
  • Conduct performance evaluations and implement training programs to improve productivity
  • Support client onboarding processes, including preparation of service agreements and documentation
  • Collaborate with management to improve client service standards and operational processes
  • Implement and maintain office management systems, CRM tools, and document tracking systems
  • Analyze administrative workflows and introduce process improvements to enhance efficiency
  • Support digital transformation initiatives including automation of administrative functions

Specific Job Requirements

  • 2-3 years of experience in administrative or office management, preferably within a staffing or HR environment is required
  • College diploma in a field related to Business Administration, Human Resources, or equivalent work experience is required.
  • Strong knowledge of office management systems, recruitment processes, and compliance requirements
  • Experience handling compliance-related documentation, employee records, and multi-client administrative processes
  • Strong organizational and analytical skills with the ability to manage multiple priorities
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and administrative systems
  • Strong communication and coordination skills
